Warehouse Management System
A warehouse system that directs receiving, put-away, picking, packing and dispatch by bin location, so pallets and cartons move quickly and every location stays accurate.
- Web-based
- Android
Overview
Warehouse Management System (WMS)
A Warehouse Management System controls what happens inside the warehouse itself: which dock a container is unloaded at, which bin each pallet goes to, which picker collects an order and in what sequence. Extrion Tech develops the system around your layout, zones and handling equipment rather than forcing a generic structure onto your building.
For importers and distributors receiving containers through Dar es Salaam port or Malindi port in Zanzibar, the inbound process starts with an advance shipping notice. Goods are checked against it at the dock, labelled and directed to put-away locations by rules such as product type, weight or fast-moving zone. Outbound orders are released in waves, pick lists are generated by bin sequence and packed consignments are staged for dispatch with loading checks.
Supervisors see live dock activity, open tasks per worker and location occupancy, and can run cycle counts zone by zone without stopping operations. Handheld scanning on Android devices confirms each pick and put-away against the expected bin and item, reducing mis-picks. The WMS can work alone or alongside an existing inventory, ERP or transport system, with interfaces agreed during project scoping.
Business problems it addresses
- Pickers waste time searching for goods because bin locations are not recorded.
- Wrong items or quantities are dispatched and only discovered by the customer.
- Containers wait at the dock because unloading and put-away are not planned.
- Warehouse space is poorly used while some zones overflow.
- Managers cannot see worker productivity or which orders are still open.

Workflow
From inbound container to outbound dispatch
-
1
Advance notice
Record the expected shipment, container number and items before goods arrive.
-
2
Dock receiving
Unload at an assigned dock, scan cartons and record shortages or damage.
-
3
Labelling and put-away
Print pallet labels and direct each pallet to a suggested bin by rule.
-
4
Order release
Group customer orders into waves by route, priority or dispatch time.
-
5
Picking
Pickers follow a bin sequence and confirm each item and quantity by scan.
-
6
Packing and checking
Verify picked items, pack, weigh and label consignments for each order.
-
7
Loading and dispatch
Stage consignments by vehicle, confirm loading and close the dispatch.
Functions covered
Modules and what they do
01 Inbound
-
Advance shipping notices
Captures expected inbound shipments and containers so receiving can be planned.
-
Dock receiving
Checks received quantities against the notice and records damage or shortages.
-
Directed put-away
Suggests bin locations using rules for zone, capacity and product type.
02 Outbound
-
Wave and order release
Groups orders into picking waves by route, customer or cut-off time.
-
Pick list management
Generates pick lists in bin sequence and assigns them to pickers.
-
Packing station
Verifies picked items, records weights and prints consignment labels.
-
Loading and dispatch
Stages consignments by vehicle and confirms loading before release.
03 Warehouse control
-
Location master
Defines zones, aisles, racks and bins with capacity and restrictions.
-
Cycle counting
Counts selected bins or zones without stopping daily operations.
-
Labour productivity
Optional / subject to scope
Measures tasks completed per worker and shift for supervisors.
-
ERP and transport interface
Optional / subject to scope
Exchanges orders and dispatch confirmations with other systems where an interface exists.
Technology stack

Security & data integrity
Protecting your data and its accuracy
Handheld users see only the tasks assigned to them, and location changes, overrides and inventory adjustments are recorded against the user and device that made them.
Standard protections
-
Role-based access control
Each user sees only what their role allows.
-
Authentication and authorisation
Every request is checked for a signed-in, permitted user.
-
Fine-grained permissions
Permissions per module and action, such as view, edit or approve.
-
Secure password storage
Passwords are stored using strong one-way hashing, never in plain text.
-
Encryption in transit
HTTPS/TLS protects data between users and the server.
-
Server-side input validation
All input is validated on the server before it is saved.
-
Protection against common web vulnerabilities
Defences against injection, cross-site scripting and request forgery.
-
Database constraints and transactions
Constraints and transactions keep related records consistent.
-
Audit logs
Important actions are recorded with who, what and when.
-
User activity history
A history of each user’s activity for supervisors and administrators.
-
Backup and restoration
Scheduled backups with tested restoration procedures.
-
Session management
Session time-outs and the ability to sign out other devices.
-
Secure API access
Authenticated, rate-limited access for integrations.
Optional advanced protections
- Offline mode with controlled synchronisation Work offline and synchronise safely when the connection returns.
- Single sign-on Sign in with your organisation’s identity provider where supported.
- Disaster recovery planning A documented plan to restore service after a major failure.
- Monitoring and error logging Errors and unusual activity are logged and monitored.
Data integrity
Each scan is validated against the expected bin, item and quantity before a task can be confirmed, and stock moves between locations in a single transaction. Location capacity rules block over-filling, while the audit trail records who moved each pallet and when. Cycle counts reconcile bin contents with system records and flag differences for review.
Security controls are configured for each project. We do not claim certification, compliance or immunity from attack unless independently verified for your deployment.
