Retail Management System
A head-office retail system that connects branches, central buying, pricing, promotions, transfers and customer loyalty so a multi-shop business runs from one set of numbers.
- Web-based
- Android
Overview
Retail Management System (RMS)
A Retail Management System sits above individual tills and manages the business as a whole. Where a POS records each sale, the retail system decides what each branch should stock, at what price and with which promotions, and then measures how every shop performs. Extrion Tech designs it for retailers running several outlets who need central control without slowing branch staff down.
Head office maintains one product and price master, plans purchases centrally and replenishes branches through transfer requests. A retailer with shops in Stone Town, Mwanakwerekwe and Chake Chake, or across Dar es Salaam and Arusha, can push a price change or weekend promotion to all branches at once and see the uplift by outlet the next morning. Inter-branch transfers are tracked in transit until the receiving shop confirms them.
Customer profiles and loyalty points work across all outlets, and gross margin, sell-through and stock cover are reported by branch, category and supplier. The system can be connected to an existing POS or delivered together with Extrion Tech’s own POS and e-commerce modules, depending on what the project requires.
Business problems it addresses
- Each branch sets its own prices, so margins and customer trust suffer.
- Some shops run out of fast sellers while others hold excess stock.
- Promotions are hard to roll out consistently and their effect is unknown.
- Transfers between branches go missing between dispatch and receipt.
- Owners compare branch performance using late, inconsistent spreadsheets.

Integrations
Security & data integrity
Protecting your data and its accuracy
Branch staff see only their own outlet’s data, while price changes and customer contact details are restricted to authorised head-office roles and changes are logged.
Standard protections
-
Role-based access control
Each user sees only what their role allows.
-
Authentication and authorisation
Every request is checked for a signed-in, permitted user.
-
Fine-grained permissions
Permissions per module and action, such as view, edit or approve.
-
Secure password storage
Passwords are stored using strong one-way hashing, never in plain text.
-
Encryption in transit
HTTPS/TLS protects data between users and the server.
-
Server-side input validation
All input is validated on the server before it is saved.
-
Protection against common web vulnerabilities
Defences against injection, cross-site scripting and request forgery.
-
Database constraints and transactions
Constraints and transactions keep related records consistent.
-
Audit logs
Important actions are recorded with who, what and when.
-
User activity history
A history of each user’s activity for supervisors and administrators.
-
Backup and restoration
Scheduled backups with tested restoration procedures.
-
Secure API access
Authenticated, rate-limited access for integrations.
-
Session management
Session time-outs and the ability to sign out other devices.
Optional advanced protections
- Multi-factor authentication A second sign-in step for selected or all users.
- Single sign-on Sign in with your organisation’s identity provider where supported.
- Data export controls Exports limited to authorised roles and recorded.
- Disaster recovery planning A documented plan to restore service after a major failure.
Data integrity
Prices and promotions are versioned with effective dates, so every sale can be traced to the price that applied at that moment. Transfers are posted out of one branch and into another within controlled steps, and discrepancies remain open until resolved. Branch sales are reconciled daily against head-office records.
Security controls are configured for each project. We do not claim certification, compliance or immunity from attack unless independently verified for your deployment.
