Overview
Visitor Management System (VMS)
Reception desks often rely on a paper visitor book that is hard to read, easy to skip and of little use when someone needs to know who is in the building. Extrion Tech develops Visitor Management Systems in-house in Zanzibar for offices, factories, hotels, schools and public-facing organisations that want orderly, accountable access for guests and contractors.
Hosts can pre-register expected visitors, who then receive an invitation with a QR code by SMS or email. On arrival, the receptionist or a self-service tablet captures the visitor’s name, organisation, purpose and, where policy requires, an identity document reference and photograph. The host is notified immediately, a printed or digital badge is issued, and the visitor is checked out when they leave, so the live on-site list stays accurate.
The system supports contractor inductions, watch lists for restricted individuals, multiple gates or buildings, and an evacuation list that can be pulled up during an emergency. Security managers review visit histories, peak times and overstays. What identity information is collected, and how long it is kept, is agreed with each client to suit their security policy and data protection requirements in Tanzania or the relevant jurisdiction.
Business problems it addresses
- Paper visitor books are incomplete, illegible and impossible to search quickly.
- Hosts are not told when their visitors arrive, leaving guests waiting at reception.
- Security staff cannot confirm who is still on the premises during an emergency.
- Contractors enter work areas without recorded induction or safety acknowledgement.
- Repeat or restricted visitors are not recognised at the gate.

Security & data integrity
Protecting your data and its accuracy
Visitor records can include identity numbers and photographs, so only reception and security roles can view them, and what is collected and how long it is retained are agreed with the client for the relevant jurisdiction.
Standard protections
-
Role-based access control
Each user sees only what their role allows.
-
Authentication and authorisation
Every request is checked for a signed-in, permitted user.
-
Fine-grained permissions
Permissions per module and action, such as view, edit or approve.
-
Secure password storage
Passwords are stored using strong one-way hashing, never in plain text.
-
Encryption in transit
HTTPS/TLS protects data between users and the server.
-
Server-side input validation
All input is validated on the server before it is saved.
-
Protection against common web vulnerabilities
Defences against injection, cross-site scripting and request forgery.
-
Database constraints and transactions
Constraints and transactions keep related records consistent.
-
Audit logs
Important actions are recorded with who, what and when.
-
Backup and restoration
Scheduled backups with tested restoration procedures.
-
Session management
Session time-outs and the ability to sign out other devices.
-
Secure API access
Authenticated, rate-limited access for integrations.
-
Data retention and deletion policies
Retention periods and deletion rules agreed with you.
Optional advanced protections
- Encryption at rest Sensitive data encrypted on disk where the infrastructure supports and is configured for it.
- Single sign-on Sign in with your organisation’s identity provider where supported.
- Offline mode with controlled synchronisation Work offline and synchronise safely when the connection returns.
- Multi-factor authentication A second sign-in step for selected or all users.
Data integrity
Each visit is a single record with time-stamped check-in and check-out events, and a visitor cannot be checked in twice at the same site. Watch list matches and overrides are logged with the officer’s name, and end-of-day reports highlight visitors who were never checked out.
Security controls are configured for each project. We do not claim certification, compliance or immunity from attack unless independently verified for your deployment.
