Overview
Leave and Staff Scheduling System
Leave and rostering are closely linked: every day of annual leave or sick leave changes who is available to cover a shift. Extrion Tech develops Leave and Staff Scheduling Systems in-house in Zanzibar that bring both together, so approvals are made with the roster in view rather than in isolation.
Employees request annual, sick, maternity, compassionate or study leave from a web or mobile portal, attaching documents where a policy requires them. The system checks the request against their entitlement, accrued balance and any blackout periods, then routes it through the configured approvers. Managers see who else is away and whether minimum staffing for each shift or unit would still be met before approving.
Schedulers build weekly or monthly duty rosters from shift templates, assign staff by skill and grade, and publish them to staff phones. Swap requests between colleagues go to the supervisor for approval, and coverage gaps are highlighted as soon as leave is approved. Leave types, accrual rules and carry-forward limits are configured with each organisation to reflect its policies and the employment requirements of Tanzania or the relevant jurisdiction.
Business problems it addresses
- Leave forms circulate on paper and approvals are delayed or lost.
- Employees and HR disagree about leave balances because accruals are calculated by hand.
- Leave is approved without checking whether the shift or department will be short-staffed.
- Rosters are drawn up in spreadsheets and shared as photos in messaging groups.
- Shift swaps happen informally, so records do not show who actually worked.

Security & data integrity
Protecting your data and its accuracy
Sick and maternity leave can involve medical documents, so attachments are visible only to HR and the employee, and retention and privacy rules for HR records are agreed with the client for the relevant jurisdiction.
Standard protections
-
Role-based access control
Each user sees only what their role allows.
-
Authentication and authorisation
Every request is checked for a signed-in, permitted user.
-
Fine-grained permissions
Permissions per module and action, such as view, edit or approve.
-
Secure password storage
Passwords are stored using strong one-way hashing, never in plain text.
-
Encryption in transit
HTTPS/TLS protects data between users and the server.
-
Server-side input validation
All input is validated on the server before it is saved.
-
Protection against common web vulnerabilities
Defences against injection, cross-site scripting and request forgery.
-
Database constraints and transactions
Constraints and transactions keep related records consistent.
-
Audit logs
Important actions are recorded with who, what and when.
-
User activity history
A history of each user’s activity for supervisors and administrators.
-
Backup and restoration
Scheduled backups with tested restoration procedures.
-
Session management
Session time-outs and the ability to sign out other devices.
-
Secure API access
Authenticated, rate-limited access for integrations.
Optional advanced protections
- Single sign-on Sign in with your organisation’s identity provider where supported.
- Multi-factor authentication A second sign-in step for selected or all users.
- Encryption at rest Sensitive data encrypted on disk where the infrastructure supports and is configured for it.
- Offline mode with controlled synchronisation Work offline and synchronise safely when the connection returns.
Data integrity
Balances are derived from accrual rules and approved leave transactions rather than edited directly, and manual adjustments require a reason and are logged. The roster prevents the same employee being assigned overlapping shifts or shifts during approved leave, and approved swaps update the roster in a single transaction.
Security controls are configured for each project. We do not claim certification, compliance or immunity from attack unless independently verified for your deployment.
