Overview
Membership Management System
Associations, cooperatives and professional bodies depend on accurate member records, yet many still run them from a register book and a spreadsheet of who has paid. Renewal reminders go out late or not at all, members cannot easily confirm their standing, and the secretariat spends meeting days checking names against lists.
Extrion Tech develops membership management systems in-house for organisations in Zanzibar and the rest of Tanzania. Applications can be submitted online or at the office, reviewed and approved by the relevant committee, and converted into a member record with a membership number and category. Subscriptions and renewals are tracked per member, with reminders sent before the due date and arrears clearly visible. Members can be issued digital or printed cards, and attendance at meetings, trainings and events can be recorded against their record.
Every organisation defines membership differently, so categories, fees, approval steps, voting eligibility rules and branch structures are configured to the client’s constitution and by-laws. Optional mobile money payment collection can be added where the provider offers an API and it falls within project scope, and data protection requirements for member information are established with the client for the relevant jurisdiction.
Business problems it addresses
- Member registers are out of date, with duplicates, missing contacts and no clear record of standing.
- Subscription arrears build up because renewal reminders depend on staff remembering to send them.
- Checking eligibility to vote or attend at general meetings is slow and done against printed lists.
- Branches keep their own lists, so headquarters has no consolidated view of membership numbers.
- Communicating with members by category or branch means copying numbers between phones and spreadsheets.

Security & data integrity
Protecting your data and its accuracy
Member records include contact details, payment history and sometimes professional or employment information, so branch staff can be limited to their own members. Privacy and retention requirements are agreed with the client for the relevant jurisdiction.
Standard protections
-
Role-based access control
Each user sees only what their role allows.
-
Authentication and authorisation
Every request is checked for a signed-in, permitted user.
-
Fine-grained permissions
Permissions per module and action, such as view, edit or approve.
-
Secure password storage
Passwords are stored using strong one-way hashing, never in plain text.
-
Encryption in transit
HTTPS/TLS protects data between users and the server.
-
Server-side input validation
All input is validated on the server before it is saved.
-
Protection against common web vulnerabilities
Defences against injection, cross-site scripting and request forgery.
-
Database constraints and transactions
Constraints and transactions keep related records consistent.
-
Audit logs
Important actions are recorded with who, what and when.
-
User activity history
A history of each user’s activity for supervisors and administrators.
-
Backup and restoration
Scheduled backups with tested restoration procedures.
-
Session management
Session time-outs and the ability to sign out other devices.
-
Secure API access
Authenticated, rate-limited access for integrations.
Optional advanced protections
- Multi-factor authentication A second sign-in step for selected or all users.
- Data export controls Exports limited to authorised roles and recorded.
- Data retention and deletion policies Retention periods and deletion rules agreed with you.
Data integrity
Membership numbers are unique and duplicate checks run on phone number and identity details at application. Payments update a member’s balance only through recorded receipts, so standing and arrears always reconcile with the subscription ledger, and every status change is kept in the member’s history.
Security controls are configured for each project. We do not claim certification, compliance or immunity from attack unless independently verified for your deployment.
