Overview
Meeting Room and Resource Booking System
Shared rooms, halls, pool vehicles and equipment are limited resources, and double bookings or rooms reserved but never used cause daily frustration. Extrion Tech develops Meeting Room and Resource Booking Systems in-house in Zanzibar that give everyone a clear, shared view of what is available and enforce the organisation’s booking rules.
Staff search by date, time, capacity and facilities such as a projector or video conferencing, then book a room in a few clicks from the web, mobile app or a calendar they already use where integration is in scope. Larger halls, pool vehicles and specialist equipment can require approval from an administrator, and bookings for external events can include catering and set-up requests. Optional door-side tablets show the day’s schedule and let attendees check in; bookings without check-in are released automatically so others can use the space.
Administrators set rules such as maximum durations, advance booking windows and which departments may book which resources. Usage reports show occupancy, no-show rates and peak periods, helping facility managers in Tanzania and elsewhere decide whether they need more rooms, fewer vehicles or different equipment.
Business problems it addresses
- Rooms are double-booked because reservations are kept in separate diaries and messages.
- Rooms and vehicles are reserved but not used, while others cannot find space.
- Staff do not know which rooms have the equipment or capacity a meeting needs.
- Requests for halls, vehicles and catering go through several people by phone.
- Facility managers have no data on how often shared resources are actually used.

Security & data integrity
Protecting your data and its accuracy
Booking data mainly reveals meeting titles, attendees and vehicle trips, so private meeting details can be hidden from general view, and access rules and retention of booking history are agreed with the client.
Standard protections
-
Role-based access control
Each user sees only what their role allows.
-
Authentication and authorisation
Every request is checked for a signed-in, permitted user.
-
Fine-grained permissions
Permissions per module and action, such as view, edit or approve.
-
Secure password storage
Passwords are stored using strong one-way hashing, never in plain text.
-
Encryption in transit
HTTPS/TLS protects data between users and the server.
-
Server-side input validation
All input is validated on the server before it is saved.
-
Protection against common web vulnerabilities
Defences against injection, cross-site scripting and request forgery.
-
Database constraints and transactions
Constraints and transactions keep related records consistent.
-
User activity history
A history of each user’s activity for supervisors and administrators.
-
Backup and restoration
Scheduled backups with tested restoration procedures.
-
Session management
Session time-outs and the ability to sign out other devices.
-
Secure API access
Authenticated, rate-limited access for integrations.
Optional advanced protections
- Single sign-on Sign in with your organisation’s identity provider where supported.
- Audit logs Important actions are recorded with who, what and when.
- Multi-factor authentication A second sign-in step for selected or all users.
Data integrity
Overlapping bookings for the same resource are blocked at database level, not only in the interface, so two people cannot reserve the same slot at once. Approvals, cancellations and auto-releases are recorded as booking events, and vehicle mileage entries are checked against the previous reading.
Security controls are configured for each project. We do not claim certification, compliance or immunity from attack unless independently verified for your deployment.
