Overview
IT Helpdesk and Service Management System (ITSM)
An IT Helpdesk and Service Management System gives IT teams a structured way to handle every request and problem that reaches them. Instead of calls, chats and corridor conversations that are forgotten, each issue becomes a ticket with a category, priority, owner and target resolution time. Extrion Tech can develop it in-house around the service practices your IT team already follows or wants to adopt.
Staff raise tickets through a self-service portal, by email or through the service desk by phone. Common requests such as new user accounts, password resets, software installation or equipment requests are offered from a service catalogue with the right form and approval steps built in. Incidents are prioritised by impact and urgency, routed to first- or second-line support groups, and escalated automatically when service level targets are at risk. Users receive updates by email or SMS and confirm resolution before a ticket is closed.
Recurring incidents can be grouped into problems for root-cause analysis, and planned changes to servers, networks or applications are recorded with risk, approval and rollback plans. A knowledge base lets technicians and users find tested solutions quickly. Managers see backlog, SLA performance and satisfaction scores by team, branch or category, which supports IT departments in Zanzibar and across Tanzania that serve several offices. Categories, SLAs and approval flows are configured with you.
Business problems it addresses
- IT requests arrive through calls and chats and are easily forgotten.
- There is no agreed priority or response time for different issues.
- The same problems recur because fixes are not documented.
- Changes to systems are made without approval or rollback plans.
- Management has no data on IT workload, backlog or user satisfaction.

Security & data integrity
Protecting your data and its accuracy
Tickets can contain account details and screenshots of internal systems, so users see only their own tickets, sensitive categories are restricted to named groups, and passwords are never stored in ticket text.
Standard protections
-
Role-based access control
Each user sees only what their role allows.
-
Authentication and authorisation
Every request is checked for a signed-in, permitted user.
-
Fine-grained permissions
Permissions per module and action, such as view, edit or approve.
-
Secure password storage
Passwords are stored using strong one-way hashing, never in plain text.
-
Encryption in transit
HTTPS/TLS protects data between users and the server.
-
Server-side input validation
All input is validated on the server before it is saved.
-
Protection against common web vulnerabilities
Defences against injection, cross-site scripting and request forgery.
-
Database constraints and transactions
Constraints and transactions keep related records consistent.
-
Audit logs
Important actions are recorded with who, what and when.
-
User activity history
A history of each user’s activity for supervisors and administrators.
-
Backup and restoration
Scheduled backups with tested restoration procedures.
-
Session management
Session time-outs and the ability to sign out other devices.
-
Secure API access
Authenticated, rate-limited access for integrations.
Optional advanced protections
- Multi-factor authentication A second sign-in step for selected or all users.
- Single sign-on Sign in with your organisation’s identity provider where supported.
- Encryption at rest Sensitive data encrypted on disk where the infrastructure supports and is configured for it.
- Data retention and deletion policies Retention periods and deletion rules agreed with you.
Data integrity
SLA clocks are calculated from recorded status changes and business hours, not edited manually, and pausing a clock requires a defined reason. Ticket history, approvals and change decisions are append-only, so reports on backlog and SLA performance can be traced back to individual events.
Security controls are configured for each project. We do not claim certification, compliance or immunity from attack unless independently verified for your deployment.
