Overview
Church and Religious Organisation Management System
Churches, mosques, madrasas and faith-based organisations carry a heavy administrative load: keeping a register of congregants and families, recording offerings, tithes, zakat or sadaka, following up pledges for building projects, organising groups and classes, and keeping members informed. Much of this is done by volunteers using exercise books, which makes accurate records and transparent reporting difficult.
Extrion Tech designs and develops religious organisation management systems in-house for congregations in Zanzibar, mainland Tanzania and beyond. Each congregant or family has a record with contact details, group membership and key events such as baptism, marriage or completion of studies, depending on the faith tradition. Contributions are recorded by type and fund, receipts are issued, and leaders see clear summaries for each service, month or project. Pledges are tracked against what has actually been paid, and announcements can reach members by SMS or email.
The system respects the practices and terminology of each faith and denomination, so contribution types, sacraments or ceremonies, group names and governance structures are configured with the client rather than assumed. Multi-branch organisations such as dioceses or mosque networks can consolidate reports, and the handling of personal and contribution data is agreed with the client for the relevant jurisdiction.
Business problems it addresses
- Congregant and family records are kept in exercise books that are incomplete and hard to search.
- Offerings, tithes and other contributions are counted and recorded by hand, weakening accountability.
- Building or project pledges are not followed up because nobody can see what remains outstanding.
- Leaders lack timely summaries of attendance, giving and group activity across branches or parishes.
- Announcements reach only those present, as there is no reliable way to message members by group.

Security & data integrity
Protecting your data and its accuracy
Individual giving and personal details are visible only to authorised officials, while group leaders see their own members. Privacy and retention requirements for member and contribution records are agreed with the client for the relevant jurisdiction.
Standard protections
-
Role-based access control
Each user sees only what their role allows.
-
Authentication and authorisation
Every request is checked for a signed-in, permitted user.
-
Fine-grained permissions
Permissions per module and action, such as view, edit or approve.
-
Secure password storage
Passwords are stored using strong one-way hashing, never in plain text.
-
Encryption in transit
HTTPS/TLS protects data between users and the server.
-
Server-side input validation
All input is validated on the server before it is saved.
-
Protection against common web vulnerabilities
Defences against injection, cross-site scripting and request forgery.
-
Database constraints and transactions
Constraints and transactions keep related records consistent.
-
Audit logs
Important actions are recorded with who, what and when.
-
User activity history
A history of each user’s activity for supervisors and administrators.
-
Backup and restoration
Scheduled backups with tested restoration procedures.
-
Session management
Session time-outs and the ability to sign out other devices.
-
Offline mode with controlled synchronisation
Work offline and synchronise safely when the connection returns.
Optional advanced protections
- Multi-factor authentication A second sign-in step for selected or all users.
- Data export controls Exports limited to authorised roles and recorded.
- Data retention and deletion policies Retention periods and deletion rules agreed with you.
Data integrity
Each collection is entered as a batch with counted totals and must be verified by a second official before it posts to the fund. Receipts are numbered sequentially, pledges reduce only through recorded payments, and corrections are made by reversing entries so the audit trail stays complete.
Security controls are configured for each project. We do not claim certification, compliance or immunity from attack unless independently verified for your deployment.
