Overview
Pharmacy Management System
Pharmacies operate on thin margins and strict stock discipline. A Pharmacy Management System combines a fast point of sale with detailed control of every batch, so the counter can serve customers quickly while the owner knows exactly what is on the shelf, what is about to expire and what has been sold at what price.
Extrion Tech develops pharmacy systems in-house for retail pharmacies, accredited drug dispensing outlets and wholesalers in Zanzibar and Tanzania. Products are set up with generic and brand names, strengths, pack sizes and units, so a pharmacy can buy by the carton and sell by the strip or tablet. Prescription sales record the prescriber and patient where required, and controlled items can be restricted to authorised staff.
Multi-branch owners can compare sales and transfer stock between outlets, and suppliers can be managed with purchase orders, deliveries and balances. Fiscal receipt devices, mobile money and insurer billing can be connected where the provider offers an API and the project scope includes them. Regulatory record-keeping requirements are established with the client for the relevant jurisdiction.
Business problems it addresses
- Expired stock is discovered only on the shelf, after the chance to return or sell it has passed.
- Selling by tablet, strip and box makes manual stock counts unreliable.
- Staff can change prices or give unrecorded discounts at the counter.
- Owners of several branches cannot compare sales or move stock without phone calls and paper.
- Reordering depends on memory, causing both stock-outs and overstocking.

Workflow
From supplier delivery to sale
-
1
Product setup
Products are registered with generic name, strength, pack size, units and selling prices.
-
2
Purchase order
Reorder suggestions become purchase orders sent to the chosen supplier.
-
3
Goods received
Deliveries are checked against the order and each batch is recorded with its expiry date.
-
4
Counter sale
Items are scanned or searched, sold first-expiry-first-out and paid by cash or mobile money.
-
5
Prescription check
Prescription-only items capture prescriber and patient details before they can be sold.
-
6
Expiry and reorder alerts
The system flags short-dated batches and items below their reorder level.
-
7
Stock take and reports
Physical counts are reconciled and owners review margins, sales and stock value.

Security & data integrity
Protecting your data and its accuracy
Price changes, discounts, stock adjustments and controlled-item sales are restricted to authorised roles and logged. Prescription records and their retention are handled according to requirements agreed with the client for the relevant jurisdiction.
Standard protections
-
Role-based access control
Each user sees only what their role allows.
-
Authentication and authorisation
Every request is checked for a signed-in, permitted user.
-
Fine-grained permissions
Permissions per module and action, such as view, edit or approve.
-
Secure password storage
Passwords are stored using strong one-way hashing, never in plain text.
-
Encryption in transit
HTTPS/TLS protects data between users and the server.
-
Server-side input validation
All input is validated on the server before it is saved.
-
Protection against common web vulnerabilities
Defences against injection, cross-site scripting and request forgery.
-
Database constraints and transactions
Constraints and transactions keep related records consistent.
-
Audit logs
Important actions are recorded with who, what and when.
-
User activity history
A history of each user’s activity for supervisors and administrators.
-
Backup and restoration
Scheduled backups with tested restoration procedures.
-
Session management
Session time-outs and the ability to sign out other devices.
Optional advanced protections
- Multi-factor authentication A second sign-in step for selected or all users.
- Offline mode with controlled synchronisation Work offline and synchronise safely when the connection returns.
- Data export controls Exports limited to authorised roles and recorded.
- Disaster recovery planning A documented plan to restore service after a major failure.
Data integrity
Every sale deducts the specific batch it came from in the same transaction that creates the receipt, so stock and sales always agree. Unit conversions are enforced by product rules, adjustments require a reason, and stock takes produce a variance report before balances are updated.
Security controls are configured for each project. We do not claim certification, compliance or immunity from attack unless independently verified for your deployment.
