Payroll Management System
A payroll system that calculates earnings, allowances and deductions from configurable rules, routes each run for approval and produces payslips, bank files and summaries.
- Web-based
- Server-based
Overview
Payroll Management System
Running payroll in spreadsheets is slow and fragile. A single broken formula can misstate pay for a whole department, overtime and loan deductions are keyed in by hand, and there is little evidence of who changed what before salaries were paid. A Payroll Management System turns each monthly run into a controlled, repeatable process.
Extrion Tech develops payroll around your pay structure: basic salary, allowances, overtime rates, salary advances, staff loans and other deductions. Statutory items such as PAYE, social security contributions (NSSF or ZSSF) and SDL are set up as configurable rules agreed with the client and reviewed against the requirements established for the relevant jurisdiction, so rates and thresholds can be updated without code changes. Attendance and leave can be imported from an HR system to drive overtime and unpaid leave.
Each run is calculated as a draft, compared with the previous month, reviewed and approved before it is locked. The system then generates payslips, bank or mobile money payment files in the format your bank accepts, and deduction summaries for remittance. Organisations in Zanzibar and mainland Tanzania with several sites or pay groups can run them separately while management sees a consolidated cost by department.
Business problems it addresses
- Payroll spreadsheets break easily and errors are found only after staff are paid.
- Overtime, advances and loan deductions are calculated and entered manually each month.
- There is no approval trail showing who reviewed and authorised the payroll.
- Changes in deduction rates require rebuilding formulas across many sheets.
- Preparing payslips, bank lists and deduction summaries takes days after the run.

Workflow
From pay inputs to payment
-
1
Employee pay setup
Each employee is assigned a pay group, grade, bank details and recurring allowances or deductions.
-
2
Period inputs
Overtime, unpaid leave, advances and one-off payments are captured or imported for the month.
-
3
Draft calculation
Gross pay, configured statutory items and other deductions are calculated for every employee.
-
4
Variance review
The draft is compared with last month, and unusual changes are flagged for checking.
-
5
Approval and lock
HR and finance approve the run through the agreed levels, after which it is locked.
-
6
Payslips and payment files
Payslips are published and bank or mobile money files are generated in the required format.
-
7
Remittance and posting
Deduction summaries are produced and payroll costs are posted to the general ledger.

Security & data integrity
Protecting your data and its accuracy
Salary and bank details are among an organisation’s most sensitive data, so only named payroll roles can view or export them and approved runs cannot be edited. Retention periods and statutory requirements are agreed with the client for the relevant jurisdiction.
Standard protections
-
Role-based access control
Each user sees only what their role allows.
-
Authentication and authorisation
Every request is checked for a signed-in, permitted user.
-
Fine-grained permissions
Permissions per module and action, such as view, edit or approve.
-
Secure password storage
Passwords are stored using strong one-way hashing, never in plain text.
-
Encryption in transit
HTTPS/TLS protects data between users and the server.
-
Encryption at rest
Sensitive data encrypted on disk where the infrastructure supports and is configured for it.
-
Server-side input validation
All input is validated on the server before it is saved.
-
Protection against common web vulnerabilities
Defences against injection, cross-site scripting and request forgery.
-
Database constraints and transactions
Constraints and transactions keep related records consistent.
-
Audit logs
Important actions are recorded with who, what and when.
-
User activity history
A history of each user’s activity for supervisors and administrators.
-
Backup and restoration
Scheduled backups with tested restoration procedures.
-
Session management
Session time-outs and the ability to sign out other devices.
-
Data export controls
Exports limited to authorised roles and recorded.
-
Data retention and deletion policies
Retention periods and deletion rules agreed with you.
Optional advanced protections
- Multi-factor authentication A second sign-in step for selected or all users.
- Disaster recovery planning A documented plan to restore service after a major failure.
- Secure API access Authenticated, rate-limited access for integrations.
Data integrity
Each payroll run is calculated from effective-dated rules and inputs, then locked on approval so payslips, payment files and journals all come from the same figures. Corrections are made through adjustment runs, and control totals let finance reconcile net pay with the bank transfer.
Security controls are configured for each project. We do not claim certification, compliance or immunity from attack unless independently verified for your deployment.
