Overview
Guest Relationship Management System (GRM)
In hospitality, remembering a guest is a competitive advantage. A Guest Relationship Management System builds one profile for each guest across stays and outlets, recording preferences such as room location, pillow type, dietary needs and favourite excursions, along with birthdays, anniversaries and past feedback, so every team can recognise returning guests and anticipate what they need.
Extrion Tech develops GRM systems in-house for resorts, boutique hotels and hotel groups in Zanzibar and across Tanzania. Guest relations officers receive arrival briefings highlighting VIPs, repeat guests and honeymooners, log in-stay requests and complaints with owners and deadlines, and send post-stay surveys. Segments such as divers, families or returning European winter guests can be targeted with direct offers by email.
Management sees satisfaction scores, recurring complaint themes and repeat-guest rates, turning feedback into operational improvements. The GRM can link to a hotel management system or booking engine via API to keep profiles up to date, according to project scope. Marketing consent is recorded per guest, and guest data protection and retention requirements are agreed with the property for the relevant jurisdiction.
Business problems it addresses
- Returning guests are treated like strangers because their history sits in old reservation records.
- Preferences and special occasions noted by one team never reach housekeeping or the restaurant.
- Complaints are handled verbally and nobody checks whether they were resolved before departure.
- Guest feedback is scattered across emails, comment cards and review sites with no analysis.
- Marketing relies on intermediaries because the property has no usable guest database.

Security & data integrity
Protecting your data and its accuracy
Guest profiles contain personal preferences and contact details, so exports are restricted and campaigns only reach guests with recorded consent. Privacy safeguards and retention periods are agreed with the property for the relevant jurisdiction.
Standard protections
-
Role-based access control
Each user sees only what their role allows.
-
Authentication and authorisation
Every request is checked for a signed-in, permitted user.
-
Fine-grained permissions
Permissions per module and action, such as view, edit or approve.
-
Secure password storage
Passwords are stored using strong one-way hashing, never in plain text.
-
Encryption in transit
HTTPS/TLS protects data between users and the server.
-
Server-side input validation
All input is validated on the server before it is saved.
-
Protection against common web vulnerabilities
Defences against injection, cross-site scripting and request forgery.
-
Database constraints and transactions
Constraints and transactions keep related records consistent.
-
Audit logs
Important actions are recorded with who, what and when.
-
User activity history
A history of each user’s activity for supervisors and administrators.
-
Backup and restoration
Scheduled backups with tested restoration procedures.
-
Session management
Session time-outs and the ability to sign out other devices.
-
Data export controls
Exports limited to authorised roles and recorded.
-
Data retention and deletion policies
Retention periods and deletion rules agreed with you.
Optional advanced protections
- Multi-factor authentication A second sign-in step for selected or all users.
- Encryption at rest Sensitive data encrypted on disk where the infrastructure supports and is configured for it.
- Single sign-on Sign in with your organisation’s identity provider where supported.
- Secure API access Authenticated, rate-limited access for integrations.
Data integrity
Profiles are matched on email, phone and passport details, with merges reviewed and logged so history is never lost. Complaints cannot be closed without a recorded resolution, and consent changes are time-stamped so campaign lists always reflect the guest’s latest choice.
Security controls are configured for each project. We do not claim certification, compliance or immunity from attack unless independently verified for your deployment.
